How to Compress Scans, Receipts, and Document Images Without Losing Readability
A scan’s value is usually in type, signatures, stamps, and thin lines rather than photographic appearance. Readability and completeness must lead the acceptance criteria.
Fix source problems first
Skew, shadows, glare, and empty scanner borders waste pixels or harm reading. Rotate and crop before compression, and rescan when necessary. An illegible source does not become clear through encoding.
- Confirm all four corners are present.
- Inspect dates, amounts, signatures, and stamps.
- Use consistent orientation across a batch.
Separate text pages from mixed pages
Text, line art, and limited color often suit PNG or a lossless candidate. Pages with photos, complex security backgrounds, and colored stamps behave more like photography and can test higher-quality JPEG/WebP. Do not force one setting across both.
Choose the minimum useful dimensions
Screen-only reading can remove pixels beyond the display need. Printing, zoomed verification, or formal archiving may require more resolution and a separate delivery copy.
- Review on phone and desktop.
- Zoom as far as the reviewer may need.
- Never delete the source scan.
Handle sensitive material carefully
Local browser compression avoids sending contracts, IDs, or receipts to a separate compression service. Downloaded outputs still need the organization’s encryption, access, and retention controls.
